Harvesting is a mechanism of periodically transferring archival data from one archival system to another. Our archive portal harvests its data to Archives Portal Europe (APE) through our harvesting repository

Archives Portal Europe (APE)

APE provides access to information on archival material from different European countries as well as information on archival institutions throughout the Europe. APE collects archival data from other public portals and publishes to their portal.

Europeana

Europeana is another web portal like APE. It is created by the European Union containing digitized cultural heritage collections of more than 3000 institutes across Europe. It includes records of over 50 million cultural and scientific artifacts, brought together on a single platform and presented in a variety of ways relevant to modern users.

Harvesting

Roughly, harvesting includes three things.

  1. Host a harvesting repository to serve data.

  2. Introduce the repository to the receiving portal.

  3. The receiving portal will pull data periodically from the repository.

Harvest to APE

We host a harvesting repository under harvestmoon subdomain. It serves data in apeEAD metadata format, which is a APE variant of the standard Encoded Archival Description (EAD).

Harvest to Europeana

APE has a data exchange contract with Europeana. So, we don’t need to harvest for Europeana. Instead we configure APE to provide data to Europeana. APE harvests our data to Europeana on behalf of us.

APE authorization

A country manager deals with archival institutes of a country. List of country managers are available here. S/He can manage contents of an institute, or can assign a manager. A country manager can also work on behalf of an institute manager.

Login to the dashboard

A country/institute manager loges in to the APE dashboard from https://dashboard.archivesportaleurope.net/Dashboard/index.action.

Country manager activities

A country manager manages institutes and institute managers of a country. Here are some functionality we might need wot work with.

Add new institute

From the country manager dashboard, click on the Edit archival landscape.

A tree of archive institute will be shown in the right. Click on the country (Norway). The try will be expanded. A form will appear at the bottom.

Enter a name and click on Add to the list.

The new institute will be in the tree.

Assign a country manager

Click on the Manage institute manager

Click on Create institute manager

We can create a new institute manager, or associate with an existing manager.

After assigning a manager, it will be visible in the list.

Delete an existing institute manager

Click on the Delete button. If deleted, the institute will be managed by the Country Manager.

Country manager act on behalf of an institute manager

A country manager can also act on behalf of an institute manager. To do so, click on the Change to this account.

Switch back to country manager account

To switch back from institute manager account to country manager account, click on the Switch back to ***. The link is on the top right corner of the page.

Configure an institute

Click on Manage content

Select the institute name from the drop-down and click Go.

Encoded Archival Guide (EAG) file

A EAG file describes information of an archival institute. See here for detail information.

We can upload an EAG file. Alternatively we can create a file by filling up a web form.

To create an EAG file, click on Create EAG file and fill up the form.

File upload preference

Click on the Preferences for uploading files. Enter/Change form values as follows, keep unchanged rest of the properties-

Profile name: Code of the institute

Basic information-

Default action for uploaded files: Publish to the Archives Portal Europe and Europeana

Default type for <dao> items: IMAGE, Take from file (<dao@xlink:role>) if existing

Default rights statement for digital objects: Creative Commons Attribution

Default rights statement for EAD data: Creative Commons Atrribution

Europeana Preference-

Type: IMAGE, Take from file (<dao@xlink:role>) if existing

Language(s) of the material: Norwegian, Take from file (<language@langcode>) if existing

Specify licence: Creative Commons

Automatic harvesting function

Automatic harvesting function enables APE to pull archival data periodically from our harvesting repository (harvestmoon). To create an automatic harvesting function, click on Create automatic harvesting function.

Click on the Create new OAI-PMH profile button.

In the form, enter the URL for our harvesting repository. The URL is https://harvestmoon.arkivportalen.no/oaicat/OAIHandler

Clicking OK will open another form. In the form change set and submit.

Select a set: Code and name of the institute.

Revisiting the Create automatic harvesting function will show the next harvesting schedule.

List uploaded content

Click on Content manager

In the top left corner, results: 1-22 / 22 means, total 22 archives has been harvested. The total (22) under the Validated column means all 22 items has been successfully uploaded to APE.
